Windsor is a private coordination platform for reciprocal guest access between private golf clubs. We take member and partner-club privacy seriously. This page describes what information we collect, how we use it, and how we protect it.

Information we collect
We collect information you provide directly to us when you use Windsor:
- Account information: Name, email address, phone number (if you opt into SMS), home club affiliation, golf handicap, and profile photo (optional).
- Request and activity data: Guest round requests you submit, club approvals, counter-proposals, and other coordination activity within the platform.
- Communications: Messages you send to or through Windsor, including emails to
bookingagent@windsorcaddie.comand SMS messages, are processed and stored to enable coordination between you, your clubs, and your hosts. - Usage information: Standard server logs (IP address, browser type, timestamps) used for security and to improve the service.
How we use your information
- To coordinate guest round requests between members, sponsors, and partner clubs.
- To send transactional notifications (request approvals, declines, counter-proposals, confirmations) via email or SMS, based on your stated preference.
- To verify your identity and home club affiliation.
- To enforce platform rules (request limits, club guest policies, blackout dates).
- To improve and secure the service.
We do not sell your data. We do not use your data for advertising or marketing to third parties.
SMS and email notifications
You choose whether Windsor reaches you via email, SMS, or both, in your account settings. SMS notifications are only sent to phone numbers you have explicitly added and verified.
Reply STOP to any SMS to opt out of further messages. Reply HELP for assistance. Standard message and data rates may apply from your carrier.
Service providers
Windsor uses the following third-party services to operate. Each handles data only as needed to provide their specific function:
- Supabase — database, authentication, file storage.
- Vercel — application hosting.
- Postmark — transactional email delivery.
- Twilio — SMS delivery and inbound message handling.
- Anthropic — natural-language processing for the email and SMS agent. Message content sent to Anthropic is processed for parsing and is subject to their data handling policies.
- Cloudflare — DNS and domain management.
Information sharing
We share information only when necessary to operate Windsor:
- With partner clubs: When you submit a guest round request, the relevant club's pro and admin can see your name, home club, party size, and request details.
- With sponsors: If you list a member as your sponsor, that member is notified and can see your request.
- With service providers listed above, only as needed to operate the platform.
- If required by law: We may disclose information in response to valid legal process or to protect rights and safety.
Your choices
- You can update your profile, preferences, and contact information in your account settings.
- You can opt out of SMS notifications by replying STOP or by changing your notification preference.
- You can request deletion of your account by emailing hello@windsorcaddie.com. Some records may be retained for legitimate business or legal purposes.
Data retention
We retain your information for as long as your account is active. After account closure, we may retain certain records (transaction history, activity logs) for up to 36 months for audit and legal purposes, after which they are anonymized or deleted.
Security
We use industry-standard security measures including encryption in transit (TLS) and at rest, row-level security policies in our database, and access controls. No system is perfectly secure, but we work to protect your information.
Children
Windsor is not directed to children under 18. We do not knowingly collect information from minors. If we learn we have collected information from a minor, we will delete it.
Changes to this policy
We may update this policy as Windsor evolves. Material changes will be communicated via email to active users. The "Last updated" date at the top reflects the most recent revision.
